The Role and the Team
We have an exciting opportunity for an experienced Executive Assistant to join us in a high-impact role at the centre of our executive operation. This is not just an admin support role, it's so much more, you’ll be a trusted partner to the senior leadership team and get genuine exposure to strategic decision-making. You'll be joining a purpose-led company at an exciting stage of growth, working alongside a collaborative EA team and a leadership group that values the contribution of a truly great EA.
Please note that this is a hybrid role where you’ll be required to be onsite in our London Holborn office 3 days a week.
What You’ll Do
Act as a strategic partner and trusted point of contact for C-suite executives, managing priorities and protecting their time with rigour and good judgement
Proactively identify and resolve operational challenges before they reach the executives, using initiative to keep things moving
Own complex, high-volume diary management across multiple time zones, prioritising in an informed way and handling last-minute changes with composure
Screen, triage and respond to executive correspondence, emails, calls and meeting requests, ensuring nothing falls through the cracks
Draft high-quality communications, reports and presentations on behalf of executives
Champion the use of AI tools across the EA function, proactively identifying opportunities to automate routine tasks, improve output quality and free up capacity for higher-value work
Coordinate and prepare for meetings at all levels, drafting agendas, gathering materials, arranging logistics and capturing clear, actionable minutes
Use AI to support meeting preparation, communications drafting, research, summarisation and reporting on behalf of the executive team
Organise end-to-end travel and logistics for C-level executives, including international flights, ground transportation and accommodation
Coordinate company-wide and departmental events, managing all logistics from venue to travel to refreshments
What You’ll Bring
Significant experience as an Executive Assistant, with direct experience supporting Exec level in a fast-paced environment
Experience within a tech company or high-growth technology business is a strong advantage
Exceptional organisational skills with the ability to manage competing priorities under pressure and deliver to tight deadlines without dropping the ball
Meticulous attention to detail across all outputs, from minutes to travel itineraries to executive communications
A genuine curiosity for emerging AI capabilities and a track record of identifying where and how AI can reduce friction in an exec support context
Experience with project management platforms, expense management tools and calendar tools across time zones
The instinct to anticipate needs, identify risks and act decisively, without always waiting to be asked
The credibility and interpersonal confidence to manage upwards, sideways and externally with equal effectiveness
A creative eye, able to elevate presentations, reports and event experiences beyond the functional
Confident phone and video presence, representing the executive team professionally at all times
